Teckle Data is built for real life communities by real life practitioners. We understand that your work is complex and we’ve designed this tool to help you to meet that complexity, to understand and translate it without losing what matters most.

We expect to evaluate at the end of a planned work session, but some of the best insights come when we’re not expecting them… we bump into somebody at the bus-stop and they tell us something really important.
The “Quick Updates” feature means we can catch that stuff too!
Drop In work can be particularly difficult to evidence – there’s just so much happening at once. Teckle Data has ways to capture both breadth and depth.
- “Conversation Tallies” allows your team to capture in 2-3 minutes the frequency of conversations across a range of themes and analyse these across time to track trends and the most prevalent issues for your beneficiaries.
- “Letters” are where you can record rich data about the most significant engagements. You choose what is significant because you know. Teckle Data will enable you to quickly connect this with outcomes or with that individual’s life journey in different ways.
When you’re reflecting on work you’ve just done, you are very aware of what should happen next. That can easily get lost in the busy-ness of tomorrow. Teckle Data is built for team working so you and your colleagues can easily find recent records to inform new work. But maybe you need someone else to pick up from here?
Notifications is a new feature which allows you to send a simple message to a colleague inside Teckle Data. You don’t need to worry about the security of an email or text
Beneficiaries’ voices
Teckle Data centres on the everyday engagements of workers and beneficiaries – in Hot Chocolate’s context, youth workers and young people. This means that lots of those beneficiaries’ own words and judgements are captured naturally. However, it could be over-reliant on the workers who do the reflective data entry.
Teckle Data offers an optional feature to allow your beneficiaries to directly engage with the database and write their own journeys. They can have their own individual log-in which gives access only to their own data – no one else’s.
Through this they can not only see their journey with you but they can enter their own records and update the personal details you hold. Of course, this interaction requires care and we’ve built in some features, based on piloting and consultation with young people and youth workers in Hot Chocolate, to make sure that it works well for everybody.

Care & Protection
Every organization working with people has a responsibility to keep them safe. You might call it safeguarding, child protection, or something else… we call it Care & Protection.
You can choose to integrate your reporting and management of Care & Protection concerns through Teckle Data. This makes it easy for your staff to capture concerns well and for your organization to review and work with them promptly and effectively. Confidentiality is carefully managed to ensure both clear boundaries and appropriate sharing.

Incident and accident recording
Another optional feature which you might like to use is that Teckle Data can integrate your recording and management of incidents and accidents too. Like the Care & Protection feature it allows your staff to enter reports alongside their normal work, structures these to get the right information, and helps you to easily review and manage them.

Your very own Teckle Data
We’ve already seen there are lots of areas where different organizations will use different language. You will want your staff to be working with the concepts and terms they are used to so we will customize Teckle Data to fit.
There will be other variations too that mean some functionality is of interest to you and some not. As well as choice around the optional extras we will set up your core Teckle Data service to suit your work and context. This happens through conversations together and a detailed customizations check that allows you to relabel, remove or repurpose the features of Teckle Data.
Sometimes you will want functionality that Teckle Data doesn’t offer. As noted, we are a youth work charity not a tech company so we will be honest with you about what we can and can’t do, and will share our learning from decades working in communities as well as developing Teckle Data. It might be that we can help you find a more suitable tool elsewhere and we’ll be pleased to do so. It might be that with an additional development fee we can develop the new functionality you need.
Your evaluation database will also be your very own in that it will be securely and independently hosted on its own server with your own domain name. Our developer will have necessary access for maintenance and should any repairs or updates be needed. You will manage your own accounts and log ins.
